Poll Vault ("we," "us," or "our") is operated by Redbud Consulting ("Redbud Consulting," "Poll Vault," or "we"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website at pollvault.ai and related services (collectively, the "Service"). By using the Service, you agree to the practices described in this policy, subject to any additional terms incorporated by reference (including our Terms of Service).
For purposes of applicable privacy laws, Redbud Consulting is the entity responsible for the processing of personal information described in this Privacy Policy (sometimes called the "controller"). This Privacy Policy applies to information we collect online through the Service and in connection with your subscription, account, and communications with us. If you do not agree with this Privacy Policy, do not use the Service.
If you sign up for our Due Data newsletter without creating a full account, we collect only your email address. Newsletter-only subscribers do not have login access or access to poll data. You can unsubscribe at any time via the link in any newsletter email.
We do not use third-party analytics, advertising trackers, or tracking cookies.
Additional information about (a) the legal bases we rely on for these activities (where required) and (b) our AI processing practices appears in Sections 4A (Legal Bases for Processing) and 4D (AI and Automated Decision-Making).
We share information with the following third-party service providers, solely to operate the Service:
We do not sell, rent, or trade your personal information to third parties.
The third parties listed above act as our service providers (and, in some jurisdictions, "processors") and are authorized to process personal information only as necessary to provide services to us (for example, hosting, email delivery, payment processing, and AI processing) and consistent with this Privacy Policy. We require these service providers to protect personal information and to use it only for the purposes for which it is disclosed to them. We may update or replace service providers from time to time as our Service evolves.
We are based in the United States, and the Service is operated from the United States. If you access the Service from outside the United States, your personal information may be transferred to, stored in, and processed in the United States and other countries where we or our service providers operate. Where required by applicable law, we implement appropriate safeguards for cross-border transfers (for example, contractual protections) and take steps designed to ensure an adequate level of protection for personal information transferred internationally.
We use your email address to send (a) service-related communications (such as account notices, security notices, and subscription-related messages) and (b) newsletters, digests, and other promotional communications only if you have opted in or where permitted by law. You may opt out of promotional emails at any time using the unsubscribe link in the email or your notification settings; however, you may continue to receive non-promotional, service-related messages. We do not use third-party analytics, advertising trackers, or tracking cookies, and we do not engage in cross-context behavioral advertising through the Service.
We use AI tools to generate polling summaries, briefings, and conversational responses based on polling data and your queries. We do not send personal identifiers such as your email address or payment details to Anthropic or OpenAI for these AI features, as described above. AI outputs are provided for informational purposes and are not intended to make, and do not make, binding decisions about your eligibility, access, pricing, or legal rights. If we ever use automated processing to make decisions that have legal or similarly significant effects on individuals where applicable law provides additional rights, we will provide any required notices and information about how to request human review.
In some jurisdictions, we must explain the legal bases we rely on to process personal information. Depending on the context and the type of information, we process personal information on one or more of the following bases:
Where we rely on legitimate interests and applicable law provides you the right to object, you may contact us to exercise that right (see Section 7).
We use only essential cookies required for authentication and session management. We do not use advertising, analytics, or tracking cookies. Your theme preference is stored in browser local storage and is never transmitted to our servers.
If you are located in a jurisdiction that requires consent for non-essential cookies, note that we use only strictly necessary cookies for authentication and session management, which are required for the Service to function. You can control cookies through your browser settings; however, disabling strictly necessary cookies may prevent the Service from working properly.
We implement industry-standard security measures to protect your information:
No method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
Data Breach Notification: In the event of a security incident that affects personal information, we will provide notifications to affected individuals and, where applicable, regulators, as required by law.
Depending on your location, you may have the following rights regarding your personal information:
To exercise any of these rights, contact us at the email address below.
You may submit a request by emailing us at the address listed in Section 12. Requests are free of charge, except where permitted by law (for example, if requests are manifestly unfounded or excessive).
To protect your privacy and security, we may take reasonable steps to verify your identity before fulfilling certain requests. Verification may include confirming access to the email address associated with your account and, if necessary, requesting additional information that we can match to information we maintain.
We will respond within the time required by applicable law. If permitted, we may extend our response time where reasonably necessary and will notify you if an extension applies.
Where permitted by law, you may use an authorized agent to submit certain requests on your behalf. We may require proof of the agent's authorization and may still need to verify your identity directly.
In certain jurisdictions, you may have the right to appeal our decision if we deny your request. If an appeal right applies, you may submit an appeal by replying to our denial notice or emailing us with "Privacy Appeal" in the subject line.
If you are located in the European Economic Area or the United Kingdom, or another jurisdiction that provides similar rights, you may also have the right to:
Where applicable, you may contact us to exercise these rights.
We retain your account information for as long as your account is active. If you request deletion of your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or legitimate business purposes (e.g., audit logs, billing records).
We retain different categories of information for different periods, depending on the purpose for which we collected it and our legal and operational needs. For example:
We may retain information for longer where necessary to comply with legal obligations, resolve disputes, enforce agreements, or protect the rights, safety, and security of Poll Vault, our users, and others. Residual copies of certain information may persist for a limited period in backups or archives maintained for disaster recovery, security, and business continuity, and will be deleted or overwritten in accordance with our backup cycles.
The Service is not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected data from a child under 13, we will take steps to delete it promptly.
If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA). This section also describes certain disclosures and rights for California residents under the California Privacy Rights Act (CPRA). We do not sell your personal information. You have the right to request disclosure of what personal information we collect, use, and disclose about you. To make a request, contact us at the email address below.
Depending on how you use the Service, we may collect the following categories of personal information:
We collect personal information from you (for example, when you create an account, subscribe, or submit content) and our service providers (for example, payment and infrastructure providers) in connection with operating the Service.
We collect and use personal information for the purposes described in Section 3, including to operate the Service, process subscriptions, provide AI-powered features, communicate with you, secure the Service, and comply with law.
We disclose personal information to service providers for business purposes, as described in Section 4 (for example, payment processing, email delivery, hosting, and AI processing).
We do not sell your personal information. We also do not share your personal information for cross-context behavioral advertising. We do not use or disclose sensitive personal information for purposes that would require offering a right to limit its use under applicable California law.
Subject to certain exceptions, California residents may have the right to:
You may submit requests as described in Section 7. We will verify requests as described in Section 7 and respond within the time required by law.
We retain personal information as described in Section 8, generally for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, enforce agreements, and maintain security.
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy. If changes materially affect your rights or how we use personal information, we may also provide additional notice as required by law (for example, by email or through the Service).
